Payment and consult policy
Payment details are collected as part of the intake forms (sent via email) during the booking process. No fees are charged until after consultations have taken place (unless already processed through © Halaxy prior to the appointment or a nutrition package is selected). Full payment is taken, with rebates available if referral is provided. Services may be paid with a credit/ debit card, including relevant insurances and any relevant government schemes (for example DVA and Medicare). See information for rebates available below*. If you are in financial burden please discuss this with the clinician before making an appointment.
Rebates are available for Medicare clients and we offer online medicare rebate claiming when available. There may be a slight delay to receiving your rebate. If online claiming is unavailable at the time, you will be responsible for organising your rebate back through Medicare (you will be notified if online claiming is unavailable).
Once booked through ©Halaxy you will receive email confirmation and consult details. We ask that you please kindly provide 24 business hours notice if you are unable to make your appointment time. Re-scheduling will not incur a fee^, however cancellation less than 24 hours in advance will incur a fee of 50% of the full consult price.
For In-home visits:
Being a mobile service we cannot always predict how the roads will be at any given time. We will endeavour for all consults to start on time however we ask you allow for a 15-30minute buffer pre and post your consult time to allow for the unexpected. Once we are on route to you location you will receive a text message with an ETA (no need to reply, this is simply to keep you up to date).
For Telehealth (Online) consults:
These services include Zoom or Mobile Phone. Prior to your online consult you will be provided with a 'How To' information sheet explaining the process of Zoom and partaking in your online consult. If for any reason the consult is ended due to technical issues (internet faults, poor connection) a phone consult will follow. You will be contacted on your nominated phone and the consult will run until your elected time. At the clinicians discretion if the consults was not sufficient to provide quality care the clinician may elect to re-book at a later date. The full fees will still be collected, however the new elected appointment will be at no charge.
^ x1 re-schedule will incur no fee, more than one re-schedule will incur a fee of 25% of full consult price.
*Rebates and fees
Your Doctor might refer you an Enhanced Primary Care (EPC) referral**. An amount of $55.10 will be covered by Medicare, with the remaining being an out of pocket fee paid by you. How this works is you would pay the full consultation fee, and a rebate of $55.10 would be put back into you account. If you are the holder of a concession card, student card or are a pensioner, then show this at your appointment and there will be no call out fee (i.e there will be no out of pocket fee), so long as you have a referral.
Private Health Funds:
If you have Private Health Insurance, all or some of your appointment may be covered by your Private Health Fund. The extent of the cover will depend on your specific level of cover. Please check with your Private Health Fund to find out exact rebate amounts you can claim. You are responsible for seeking your rebate from your provider.
If you have made an appointment with nil options of those listed above (i.e. no EPC/ medicare, no Private Health Fund Cover and no DVA) then the full fee will be incurred for the service you have selected.

**What is an EPC?
Under the Medicare Benefits Schedule, dietetic services can be provided to you if you have:
EPC's consist of a maximum of five services in a calendar year. Under an EPC, a Medicare rebate of $55.10 is issued back to you, meaning a smaller out-of-pocket fee would be paid by you.
